This will produce side-by-side images of the two programs. At this point, it becomes an easy task to select and copy material from one program to the other without having to alternately reduce and enlarge each image independently of the other.

Our chair, Trevetta Wunderlin, welcomed us to the meeting of the Genealogy Interest Group – Ancestor Trackers on 17 February 2012.

She asked for someone to replace Program Chair Deborah Adles but no one volunteered. Trev also brought up the fact that the OLLI annual meeting will be held on May 18th, our usual meeting day. We decided to see if the meeting room will be available on May 11th.

Trev introduced our speaker Debbe Ann Hagner, an accredited professional genealogist from Chicago. Debbe teaches classes and volunteers at the Family History Center in New Port Richey. She recently returned from a trip to the genealogy library at Salt Lake City and while there she made three videos for www.familysearch.org. Debbe’s program for us was “Researching Funeral Homes, Grave Sites and Cemetery Records” and she began by telling us the evolution of funeral homes and where to find clues in identifying the funeral home used and the cemetery where our relative was buried. Debbe explained the different types of cemeteries and the information that may be found on tombstones. She also told about us problems that affect tombstones, their care and the meaning of some abbreviations that may appear on them. Debbe taught us how to calculate birth dates from the ages that sometime appear on tombstones. She also told us how to prepare for a visit to a cemetery, what to bring with you and where to find cemetery records. Debbe discussed the value of funeral records, funeral directories and where the records may be found. She recommended many cemetery websites and books to help us with cemetery research. Finally Debbe told us about the German practice of “recycling” cemetery plots, the Jewish practice of leaving pebbles on a visited grave and the Greek Orthodox custom of lighting candles on a grave.

                                                                                    Respectfully submitted,

                                                                                    Rosalyn Davenport Gibbs

Board Minutes from December:

(Motion to approve, Ray Ann/seconded by Jean Amuso). Vote was unanimous.

Update of Board’s Goals:

1) Marketing: After much discussion it was decided to readdress marketing after we have results from our member survey. Motion was unanimous.

2) Leadership Development and Succession Planning: Kay and Bill will have a report ready to present to the Board in March with a plan for Leadership Development. The Board voted unanimously that it would be best to put a hold on the Succession Planning until progress is underway toward developing a Leadership team.

3) Operational Plan: Board decided to let the present plan work for a year and then review for possible changes or specifics.

4) Develop Better Communication and Coordination between Committees: Chairs have met twice to discuss areas where there is overlap between committees. Bill Sapper suggested that the committee chairs meet every 3 months at the end of each quarter and report back to the board with an update.

5) Plans for the 20th Anniversary Celebration: The planning committee consists of Pat Spencer, Ray Ann Favata, Lilly Johnson, Sally Ordway, and Maru Lou Crawford. The committee will be ready to report back with their ideas and plans by April. Pat Spencer is in charge of planning the first committee meeting.

Director’s Report:

Ara updated the Board on the member survey to be conducted electronically. The Strategic and Organizational Planning put together a draft survey focusing on demographics, Areas of Interest, Knowledge and Skills.

The survey should be ready for distribution in March.

The membership numbers at this point are well ahead of last year’s. Ara indicated we are where we should be and the new numbers are both manageable and welcomed.

History Archival Project:

Nancy reported that she would be discussing the project with History Project Chair, Doug Fairbanks. She plans to come back in February with a report to the Board

Board Member Comments and Concerns:

–Ray Ann Favata reported that the Volunteer Committee is working on the Recognition Awards Event . They have explored several venues but have not yet reached a decision on a location for the event. Ray Ann also circulated the Volunteer Master list and asked Board members to review it and give her any corrections or additions.

–Maru Lou Crawford announced that Game Day would be held Saturday, January 28, 2012 at the Westside Conference center at USF. She said her committee is trying to encourage more member participation by scheduling a variety of new and different events. They are planning some zip code events beginning in March.

–Bill Sapper reported that the Curriculum committee continues to build levels of committee responsibilities to help mentor new faculty. They also have conducted training for committee members to enable accessing the data base for class evaluations.

–Pat Spencer and Sally Ordway reported that Membership would be meeting on the 27th of January. They will be working on the goals for their newly organized two sub-committees – Recruitment and Retention. They are searching for a Retention sub-committee Chair. They will have a report ready for the Board in February.

–Ann Reid reported that the annual Fund Raising letter will be mailed in February. They have developed a printed card to promote contributions. Ann reminded board members of the upcoming fund raising lecture featuring noted USF Professor Susan MacManus to be held at 1 pm on Tuesday, February 21 at the Stabile Building at the Moffitt Cancer Center, USF.

–Tom Joyce reported that the updates to the Policy Manual are now completed.

–Kay Menzel reported on the plans underway to publish an OLLI-USF 20th Anniversary Commemorative Collection which will include original works by our members over the past 20 years. The works will include stories, poems, photos, and art work. The book will be published in time for our anniversary school year –2013/2014.

She also indicated that the Nominating Committee would be meeting to schedule their time line for accepting nominations for the three vacant Board positions. The committee will report back to the Board with their slate of candidates in April and the Board’s Annual Membership meeting and election will be held May 18, 2012 in the ballroom of the Centro Asturiano at 10 AM.

Bylaws Review Committee:

Nancy Stuart announced that she was recommending the following names to serve on the annual Bylaws Review Committee: Nan Kutcher and Terri McIvor who both have previously served on this committee; Edythe Shapiro, representing the Board, and one other committee member to be named by the committee. (moved to accept by Kay, seconded by Tom). Vote was unanimous.

Recommendations to the Committee: The Board asked the Committee to look at the wording in the paragraph concerning board member tenure. It is somewhat confusing and should be written more clearly.

After some discussion, the Board agreed that the bylaws should not be changed unless there is a specific problem.

Meeting was adjourned at 12:15 pm.

Next Board meeting: Friday, February 10, 2012.

Respectfully Submitted by:

Kay Menzel

BOA Secretary

The two subcommittees of the reorganized OLLI Membership Committee, Recruitment and Retention, met on January 27 to review our revised mission statement and define goals and deliverables for the current year.

MISSION STATEMENT:

The mission of OLLI-USF’s Membership Committee is to grow, renew and improve OLLI by reaching, attracting, involving and retaining a diverse membership committed to an active life of learning and involvement in their communities.

To accomplish the mission, the Committee has been reorganized into two components, Recruitment, which will address the mission of growth and outreach, and Retention, which will direct its attention to communicating with existing members and promoting activities to strengthen their ties to OLLI and encourage deeper levels of involvement.

In addition to continuing the current activities of the Recruitment Sub-committee, we identified two goals for the combined committee:

Expand outreach activities such as increasing Speaker’s Bureau engagements by 50%, and improving the methods by which other OLLI members can become recruiters.

Review all the ways that we currently communicate with our membership to identify the most effective and efficient means of staying in touch and encouraging involvement.

A new initiative under the second goal is to contact all brand new OLLI members within the first month (plus) of their joining or starting classes to welcome them, get feedback and offer assistance and information about programs and activities other than classes.

The Retention Sub-committee chair position is still open, and Pat and/or Sally will act in this capacity until a chair is found. This sub-committee also needs additional members, and would appreciate the Board’s support and recommendations for all our initiatives.

Sally Ordway and Pat Spencer
Membership Committee Co-Chairs

A meeting of the Curriculum Committee was held on Friday, January 6, 2011 at 10am at the OLLI USF Meeting Room. The following members were present: Bill Sapper, Will Schneider, William Stanley, Shirley Deeter, Fred Barthmus and Nancy Stuart

The following members were absent: Nancy Marsh, Brenda Tipps and Jean Amuso.

The following OLLI USF staff members attended: Ara Rogers and Joseph McAuliffe.

The following guest attended: Sheldon Busansky.

Approval of minutes: Fred moved that the November minutes be approved. Shirley seconded. The motion carried 6-0. The committee did not meet in December.

The following agenda items were discussed:

1. Welcome and introduction of guests: Bill welcomed Sheldon who is considering joining the committee to assist in the area of Science.

2. Board presentation: Bill mentioned that he had sent the committee members a copy of the plans of the OLLI USF Board for the New Year.

3. OLLI Volunteer Application. Bill distributed a copy of the OLLI USF Volunteer Application 2110-2011. There is a campaign underway to enlarge the volunteer database. Will suggested the form be made available in the classrooms. Bill replied that that is an option. All committee members agreed that one of the major incentives to draw volunteers is the campus parking permit.

4. Hillsborough County Volunteer Enrollment Form: Bill distributed a copy of the county form. . (Copy attached) OLLI USF will assist the county in this effort

5. Day trips: This program has been downsized and is now being run by one individual under the direct supervision of OLLI USF, not the curriculum committee.

6. Sub Committee Reports: (a) William is coordinating with Joseph concerning new Political Science courses.(b) Nancy received a list of students who regularly attend courses in her area of interest and was able to recruit three new sub committee members from that list. Ara made the general comment that sub committee chairs might invite Joseph or her to the first subcommittee meeting to help with the initial orientation of new volunteer members. She also suggested the new sub committee members be given a copy of a completed Course Application Form so they will know what to expect when they are asked to evaluate a new course or new instructor. (c) Shirley:

The Cross Platform sub committee has been formed and held its first meeting at Lake Magdalene.

(d) Fred: New Volunteer Training and New Faculty Orientation will be held after the next Open House. Fred would like to expand the Faculty Training Committee. There is no Mac teaching capability at Lake Magdalene and the Mac students complain about the parking problem at the campus computer facility. Fred again mentioned that he would like to see a WIKI capability made available at the OLLI USF office complex. (e) Will asked if the Cracker Country facility is still under consideration as a teaching venue. Bill said it was. Will mentioned that the Tampa Palms Country Club will be a venue for the spring quarter. He asked Joseph to include a comment in the Evergreen inviting TPCC students to have lunch before or after class since the CC does not charge OLLI a rental fee and they appreciate the lunch business generated by the class participants.

7. Training in Gold Lab: Ara conducted a tutorial in the Gold Lab covering two subjects; Accessing Computerized Course Evaluations and WIKI on Instructor Training Materials. (Handouts attached)

8. Overview of Winter registrations and Spring Course Development: Joseph distributed and discussed lists providing the information on these topics as of this date. (Copy attached) Joseph made the general comment that there exists a continuing shortage of instructors, not venues. He has venues awaiting courses.

9. New Course Interviews: None conducted.

The next committee meeting will be held on Friday, February 3.

The meeting adjourned at 12:44 pm.

Bob Findorff, who has been working on the metrics for the Annual Fund, presented a comprehensive spreadsheet for the years 2008, 2009, 2010, and 2011. It is broken down by quarter with average, size, and number of donations. The committee discussed the numbers and decided that the 2011 numbers were most representative because the 2010 year was skewed by the Susan Bottom presentation. For the prior years, the Annual Fund was just getting off the ground.

This is an excellent start to understanding our donor base and will guide us in the future in developing campaigns.

The 2011-2012 Annual Fund campaign is progressing nicely, and I will report the up-to-date statistics at the Board meeting. Joseph included the Susan McManus lecture information in his latest eBlast.

Our next meeting on February 17 will be spent assembling the Annual Fund letters for mailing to the OLLI members.

Submitted by Doug Fairbanks

· Meeting called to order at 10:04am

· Minutes approved from October and November, 2011

· Year to date donations is $6,875

· Handout and Review of the donor card.

o Excellent quality

o To be used at Friday lectures and other OLLI@USF events.

· Bob Findorff presented a spreadsheet on the donors to the Annual Fund for the years 2008, 2009, 2010 and 2011.

o Discussion focused on details by quarter, average and size of donations.

o Bob pointed out that for a retirement group we have very few matching fund donors and this is an area we might want to target.

o The committee continues to search for a “Why Give” message.

o It was decided that the overall Development program seems to be healthy and growing and there are lots of opportunities for growth.

· Ann reported on the Distinguished Lecturer program featuring Susan McManus, Friday, February 21, 2012, at 1:00 pm. The program is being publicized and the Republican Candidate Debate on the USF campus ought to help develop interest in the program.

· Cartoon for the Spring Evergreen was approved

· The Development Committee will continue to meet on the third Friday of the month except in an unusual circumstance.

· Next meeting is scheduled for Friday, February 17 and we will be assembling the Annual Fund letter so be sure to wear comfortable shoes and bring your reading glasses.
